Routine job - assist department manager(s)
Document consolidation per requested (technical review, Orgchart updating, 2
DPT meeting ppt preparation, 2 DPT mid-year, annual meeting ppt preparation.
OneVoice result analyses, etc)
Organize meetings and reserve meeting room, do meeting minutes per requested
Prepare expense list, reserve ticket, hotel, and travel documents,...
Help to propagandize new policies
Help to arrange visitors’ affairs (invitation letter, hotel, pickup, agenda,
etc)

Routine job - related to Admin
Apply stationary;
Recharge OT meal card;
Maintain common department properties
update blackboard
order snack/lunch
annual leave (Spring Festival) arrange Excel
Routine job - related to Finance
Check staff expenses according to the latest finance policies
Check /fill in MSTT according to the leader/section managers’ guide monthly
Express hardcopies to Wuhan Finance Service Center every Tue and Fri.
Record express hardcopy
Routine job - related to IT
Apply for the entry card and make the card photo
Apply for extension number
Apply PC for replacing or for newcomers
Apply low-value equipment for department use
Routine job - support to colleagues
Help to solve problems and questions regarding Admin topics
Order lunch for Someone having the meeting at noon
Schedule a TECHNICAL SHARING meeting and reserve a meeting room
on board for New staff /resign
Intern monthly report
Specific assignments by department managers
Work on specific assignments which not listed and considered
routine jobs;
Clarify with dept manager assignments targets, constraints and
impacts on routine jobs;
Reach assignment targets
Arrange department outing- Q2
Arrange Department team building-Q3
Arrange Department annual party - Dec
Functional Competencies/ Professional Knowledge
Admin system and tool,=S = policy
Planning and organizing
document skill(MS office: PPT, Excel)

Safety & Security
- Safety of data: refresh the audit and deploy the recommendation
- stock management
Pre-active action :
-Report task weekly f2f (prefer ) or by email
- Communicate with colleagues
Qualifications:
- Be willing to learn, has strong responsibility, be patient, teamwork, be
able to take the pressure, and have good communication
- Be familiar with Windows/Office/PPT/Excel.
- Good English reading & writing.
- Ability to interact with the other department managers
- Methodic, collaborative, proactive, open-minded, circumspection, patient
